Make time in your therapist schedule for Calendly!

by | Aug 14, 2026

Starting out in private practice can involve a surprising amount of admin. At the Mill Hill Therapy Hub, we love finding simple ways to help our practitioners spend less time arranging appointments and more time supporting clients 🌿

Could Calendly make arranging intro calls easier?

A free introductory call gives a potential client the opportunity to share what they are looking for, while you can explain how you work and consider whether you might be a suitable fit. Offering a relaxed 15- or 20-minute call can be a helpful first step for both of you.

Calendly’s free plan can reduce the usual back-and-forth. You can create a one-to-one event, tell Calendly when you are usually free each week, connect it with Gmail or Outlook, set your availability and integrate the booking widget to your Hub profile (it's easy and we can help!). Your existing calendar commitments can then automatically block out those times, so potential clients cannot book when you are already busy, whether you are with a client, at the hairdresser or on a plane. Clients then choose a suitable time from the appointments you have made available.

You could add your link to your website, email signature, social media profiles or your practitioner directory profile. It is a small change that can make your practice feel more streamlined and accessible 📅

At the Mill Hill Therapy Hub, we receive many referrals and we are proud to have so many excellent practitioners on our directory. A clear Calendly link can help your profile feel easy to act on when a potential client is browsing. It suggests a professional, organised approach and shows that you are using simple technology to streamline your private practice.

Of course, no booking tool can guarantee that someone will choose one practitioner over another. Still, if a client is comparing two profiles, the practitioner offering a simple Calendly link for an initial call may feel easier to approach than one without a clear booking option. Sometimes that small bit of convenience can help a client take the next step.

When might the paid version be useful?

If you would like clients to pay directly through Calendly when booking calls or sessions, the paid version may be worth considering. It can reduce payment chasing and save valuable admin time. Do remember that payment provider transaction fees may still apply.
