1. Why is personal information collected?

Personal information about you is collected for the purposes of providing therapy room rental services, thereby enabling the Mill Hill Therapy Hub to fulfil its contractual obligations to you.

Information and data about you are collected in a variety of ways, including contracts, referral forms, consent forms, reports, by phone and email, as well as face-to-face discussions, and within invoices.

Information collected about you is used to provide a professional therapy room rental service.

4. Where is information kept, and how is it kept safe?

Information will be held securely and in accordance with GDPR. Some data is stored and processed through the Marblism platform, which uses encryption and undergoes annual security audits. See Section 7 for more information on third-party data processors.

5. How long is information kept?

All electronic documents will be kept until three years after your contract with the Mill Hill Therapy Hub has been brought to an end.

6. How can collected information be viewed, deleted or changed?

The Information Commissioners’ Office details your rights to access information or request for it to be amended/deleted.

7. Third-party data processors

The Mill Hill Therapy Hub uses third-party platforms to help run its services. These platforms are GDPR-compliant and have appropriate security measures in place.

Marblism: The Mill Hill Therapy Hub uses Marblism, a GDPR-compliant AI platform, to assist with administrative tasks, marketing, and communications. This means your data may be processed through Marblism’s secure systems. Marblism uses encryption, does not share data with third parties, and undergoes annual security audits.

Calendly: If you book a call with us, your data (such as your name, email address, and preferred time) may be processed through Calendly for scheduling purposes.

WordPress: Our website is hosted and managed through WordPress. If you fill in a form on our website or are listed as a practitioner, your data will be stored and processed through WordPress.

Therapeuta: We use Therapeuta for online booking and room management. Your booking information, contact details, and billing data are processed through Therapeuta’s platform.

WhatsApp: We use WhatsApp for community groups and communications with our members. Your name and phone number may be shared within relevant WhatsApp groups for the purposes of referrals, room bookings, and community updates.

Ring: We use Ring doorbells and cameras to monitor our premises and ensure the safety and security of everyone working in and using our rooms. Recordings are stored on the Ring cloud for up to 180 days and then permanently deleted. Please see Ring’s policy for further information.

Part 2

The Mill Hill Therapy Hub takes your privacy seriously. This policy explains how we collect, use, and protect your personal information when you use our therapist-matching service.

We use the information you provide only for the purpose of matching you with a suitable therapist. We will never share your contact details (such as your email address or phone number) directly with third parties.

Depending on how you use our service, your information may be processed through the following platforms:

• Marblism: We use Marblism, a GDPR-compliant AI platform, to assist with administrative tasks and communications. This means your data may be processed through Marblism’s secure systems, which use encryption, do not share data with third parties, and undergo annual security audits.
• Calendly: If you book a call with us, your data (such as your name, email address, and preferred time) may be processed through Calendly for scheduling purposes.

• Google Forms: We may use Google Forms to collect information for therapist-matching or intake purposes. If you submit a form, your data will be processed through Google’s secure, GDPR-compliant systems.
